In Microsoft Teams, you can create so-called Teams, which are practical for close communication and file sharing, for example, with students within a course, departments within a workplace, or when working on projects, etc.
- They are intended for the operational collaboration of teams.
- For teaching a specific course.
- For groups of courses.
- For teacher-student activities.
- For file sharing within the team.
- They are administered by the team owner, i.e., the teacher or leader.
- After the period for which the team is relevant, e.g., the end of the semester, the team can be deleted.
- Teams can have channels, which can be used for sub-teams.
Creating a Team in Microsoft Teams
We create teams in two ways:
- If you want to create a Class-type Team (for one course), please contact your department's officer, who will create the Team directly in iKOS. All students enrolled in the course will be automatically registered in such teams. KOS further offers two types of student synchronization:
- Full synchronization (members are only students enrolled in the course).
- Only student registration (KOS registers all enrolled students in the team but does not remove anyone from the team); in such teams, it is possible to add students who are not enrolled in the course.
- All other Teams (e.g., a Team common to multiple courses or an Organization-type Team) are created by the Computer Center based on a request submitted through the Helpdesk.
Recording Meetings in Microsoft Teams
In Microsoft Teams, we distinguish recordings from meetings based on the type of meeting into two types:
Recordings from Team Meetings
If a recording is made from a meeting held within a Team (Teams for course teaching, workplace teams, or workgroups), the recording is saved in the Recordings folder within the channel storage where the meeting was held (typically the General channel). The recording is available to all Team members, whether they attended the meeting or not.
Recordings from Meetings Outside the Team
If a recording is made from a meeting held outside the Team (typically created in the user's calendar or via chat), the recording is saved in the Recordings folder within the OneDrive storage - the personal space of the user who started the recording (not necessarily the meeting organizer). The recording is then automatically shared with all meeting participants.
These recordings are available for 30 days, after which they are automatically deleted. If you want to keep a recording on your OneDrive, you need to move it from the Recordings folder to any other folder. You will be notified by email once a week about recordings that have less than 15 days left before expiration and deletion.
Frequently Asked Questions
Why can't I create a team myself?
Creating teams by individual users would lead to a situation where effective management is impossible due to the size of our environment. Teams are created in a space common to all AMU users, and their existence extends to many other parts of Microsoft 365.
Who manages individual teams?
They are managed by the team owner, usually a teacher or leader. Teams can also have channels, which can be used for sub-teams or individual agendas. Their creation and organization are the responsibility of the team owner. After the period for which the team is relevant, e.g., the end of the semester, the team can be deleted upon request by IT staff.
Where can I download the Microsoft Teams application?
On managed school computers with Windows 10, the Microsoft Teams application is automatically pre-installed. For personal devices, you can download it, including for Android and iOS mobile devices.
